HR Admin Officer

Job Description

  1. Updates information of employees in HR database on a daily basis and monitors any expiries of visas, labour cards, passports, and licenses.
  2. Communicates with labour accommodation for entry and exit of labour, maintains an updated list in HR database and monitor the services provided.
  3. Maintains a daily record of staff attendance and ensures that all staff leave applications are accurate.
  4. Negotiates with vendors to obtain optimum quality, cost, terms etc.
  5. Prepares Evaluation forms and follows up with managers for timely completion
  6. Compiles formulation of company policy, Organization, NDR …..etc
  7. responsible for investigating and resolving workplace issues, the direct Manager and resolve employee complaints.
  8. Must be well versed in (UAE Labour law).
  9.  Perform related other duties/assignments as instructed
  10.  submit and Review/Check contracts, invoices on behalf of the direct Manager prior to their approvals in the system HR Admin Officer
  11.  Liaise with Team leaders for analyzing and reporting on the above
  12.  Manage the direct Manager office, maintain decorum, order regular supplies of consumable items
  13. Maintain diary, arrange meetings and appointments and provide reminders
  14. Make travel arrangements
  15. Take dictation and minutes and accurately enter data
  16. Represents the executive by attending meetings with the executive, or in the executive’s absence; taking minutes of meetings, speaking for the executive.
  17. Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  18. Maintains customer confidence and protects operations by keeping information confidential.
  19. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  20. Setup and develop the HR company policy.
  21. Hier the talented and organize the interviews.

Skills

Responsibilities:

• Coordinate and oversee all office activities

• Ensure adherence to relevant company procedures and policies

• Handle phone calls and all related correspondence

• Provide assistance with different budgeting and bookkeeping activities

• Keep databases in check and update them regularly

• Control the office supplies state and make sure it is in accordance with office needs

• Supervise cleaning crew and cleanliness of office space

• Create and present reports for senior managers

• Organize and maintain personnel records

• Update internal databases (e.g. record sick or maternity leave)

• Prepare HR documents, like employment contracts and new hire guides

• Revise company policies

• Liaise with external partners, like insurance vendors, and ensure legal compliance

• Create regular reports and presentations on HR metrics.

• Answer employees query about HR-related issues

• Assist payroll department by providing relevant employee information (e.g. leaves of absence, sick days and work schedules) HR Admin Officer

• Arrange travel accommodations and process expense forms

Proven work experience as an office/HR Administrator.

• Hands-on experience with office management computer programs (such as ERP)

• Computer literacy (MS Office applications, in particular)

• Comprehensive understanding of insurance offerings, payroll issues, and labor law.

• Excellent organizational skills, with an ability to prioritize important projects

• Strong phone, email and in-person communication skills

 

  • Bachelor’s degree in business.

• 5 or more years of HR experience in UAE.

• Ability to meet tight deadlines.

• Ability to perform multiple tasks.

• Ability to work well under pressure.

• Time management skills

• Strong communication and Customer service skills

• Proficiency in English

• Proficient in Word, Excel, Outlook, and PowerPoint.

• Age 25-40.

  • She must 6 months temporary working Visa.
  • Salary from 4000 to 5500.
  • The candidate needs to Native Arabic speaking
  • Strong communication skills and the ability to take ownership and initiative
